How to Use AI for Hiring and Onboarding in a Small Business
Use AI to write job posts, organize applications, prepare interviews and onboard new staff faster, while staying within hiring and anti-discrimination rules.
How AI helps with hiring and onboarding
AI helps small businesses hire and onboard by drafting job posts, creating structured interview questions, summarizing applications and turning your know-how into training guides and videos. It saves hours of writing and admin. Hiring decisions must stay with people, and some places now regulate automated tools used to screen candidates.
In a small business, hiring usually lands on the owner, on top of everything else. Job posts get rushed, interviews are improvised and new staff learn by watching whoever is free. AI does not find great people for you, but it makes each stage clearer and faster.
The job has two halves. Hiring covers the job post, screening, interviews and the offer. Onboarding covers paperwork, accounts, training and the first weeks. AI is most useful for writing and organizing in both halves.

Legal rules, risks and limits
Anti-discrimination law applies to AI. Employers remain responsible for hiring decisions even when software helps. AI screening can reflect bias in its training data or in how you set it up.
Automated screening rules. Some places regulate automated hiring tools. New York City, for example, requires bias audits and candidate notice for certain automated employment decision tools, and the EU AI Act treats AI used in recruitment as high-risk. Check what applies where you hire.
Keep people in the loop. Do not let AI reject candidates automatically. Use it to organize and summarize, then decide yourself.
Candidate data. Applications contain personal information. Keep it in tools with clear data terms, limit access and delete it according to local rules.
Wording checks. Remove requirements that could exclude people unfairly, and have employment documents reviewed by a professional.

How to measure it
- Time to hire, from job post to accepted offer.
- Owner hours spent per hire.
- Time to productivity for new staff.
- Repeat questions new hires ask that your guides should answer.
- Early departures in the first months, which often point to onboarding gaps.
Interviews and onboarding check-ins can be summarized too. See our AI meeting notes guide, and get consent before recording.
How to set it up
Define the role in your own words
Write rough notes on what the person will do in a typical week, what success looks like after three months and the skills that truly matter. This is the input AI needs.
Draft the job post and scorecard
- Ask an assistant to turn your notes into a clear job post.
- Remove requirements that are not essential.
- Create a short scorecard listing what you will assess and how.
Screen applications yourself
Use AI to summarize applications against your scorecard if you like, but read the shortlisted ones and make every reject or advance decision as a person.
Run structured interviews
Ask every candidate the same core questions from your scorecard. Let candidates book through Calendly or Cal.com.
Build an onboarding checklist
List day one, week one and month one tasks: paperwork, accounts, safety training, shadowing and check-ins. Store it in your wiki or HR system.
Record training once
Record your most common how-to explanations with Loom and let AI turn them into written steps. Have an experienced employee check them.
Frequently asked questions
Can I use AI to screen job applications?
You can use AI to summarize and organize applications against criteria you set, but a person should make every decision. Automated screening can reflect bias, and some places regulate it with audit and notice requirements. Check the rules where you hire and keep a record of how decisions were made.
Is it okay to write job posts with AI?
Yes. AI is good at turning rough notes into clear job posts. Review the draft for accuracy, remove requirements that are not essential and check for wording that could discourage qualified people from applying. Make sure pay, location and duties are correct for your role and location.
How can AI help onboard new employees?
It can draft onboarding checklists, turn your procedures into clear written guides, create quizzes and summarize training videos into steps. A searchable wiki lets new staff find answers on their own. Have an experienced employee check everything the AI writes before new hires rely on it.
Should I record interviews with AI notetakers?
Only with the candidate's clear consent, and check local recording laws first. Notes can help you compare candidates fairly against the same questions. Store recordings securely, limit who can access them and delete them once the hiring decision is made, in line with local rules.
